AI is moving out of the chat window and into the room where your team already works.

For the last two years, using AI meant leaving what you were doing, going to a separate tab, typing a prompt, then copying the answer back. That's changing fast. This week Anthropic rolled out a way to @mention Claude directly inside Slack, where it joins the channels you pick and handles tasks like any other teammate. No new app, no separate login. You tag it in and keep working.

One of the most respected voices in AI called this the third big redesign of how we use these tools: first it was a website you visited, then an app you downloaded, and now it's a persistent teammate that's just... there. For a small business, that's the real shift. AI stops being an errand and starts being part of the workflow.

But here's the catch worth sitting with. The person who leads Anthropic's coding team pointed out that the companies pulling ahead aren't the ones with the fanciest AI access. They're the ones who've actually written down how their business works. An AI teammate can only help if it can see the playbook. If your process lives entirely in your head, the smartest AI in the world is still guessing.

Write down how your business works before you hand it to AI.

The reason most AI experiments fizzle isn't the technology. It's that nobody ever told the AI how the business actually runs. It can't read your mind, only your notes.

So start with one thing. Pick a single task you do over and over, like answering a new customer inquiry, and spend 30 minutes writing it out in plain language:

โ€ข What's your pricing and your refund policy?
โ€ข How do you like your emails to sound, formal or friendly?

That short document is what turns a generic chatbot into something that actually sounds like your business. Paste it at the top of a chat and watch the answers get sharper immediately.

Common mistake: expecting the AI to "just know" your business. It doesn't, until you tell it. Ten minutes of notes beats the fanciest tool.

Think of it exactly like onboarding a new hire. On someone's first day, you don't just say "handle customer emails" and walk away. You tell them what you sell, what things cost, the questions that come up all the time, and how you like to talk to customers. Context is that same brain-dump, handed to the AI instead of a person.

In practice, it's as simple as pasting a few paragraphs at the start of your chat: "We're a landscaping company in Austin. Here are our services and prices. Customers usually ask about scheduling and whether we do one-time visits. Keep replies warm and short." That's it. The AI now answers like it works for you, not like a stranger guessing.

Better yet, save that paragraph in a note and reuse it every time. The businesses getting real value from AI aren't using secret tools. They just took ten minutes to explain themselves.

The "which model won this week" horse race.
This week alone: a new Chinese model (Kimi K3) reportedly beating some of the big names, experts arguing there's "no alternative" to those cheap models, and Google quietly delaying its next release because it wasn't good enough. Both sides of this are noise for you. Whether the doom crowd ("the wrong company is winning AI") or the hype crowd ("a new best model every Tuesday") is right, it changes nothing about your Monday. The tool you already have open, ChatGPT or Claude, is more capable than 99% of small businesses are using it for. Chasing benchmarks is a way to feel busy without getting anything done.

"AI that improves itself" headlines.
A viral claim went around that an AI system tuned itself for eight days and beat two years of human effort. Maybe true, maybe not, and researchers are still poking holes in it. Either way, file it under "interesting, come back in a year." It has zero bearing on whether you should draft your emails with AI today.

This week's homework: write your "business brain" doc. 30 minutes, one document.

Everything above points to the same move. The AI teammate is only as good as the context you feed it, so this week, write the context down once and reuse it forever. Pick the version that fits you:

โ€ข For customer questions: open ChatGPT or Claude, write out your top 10 FAQs with answers, and save it. Paste it in whenever you draft a reply.
โ€ข For your team: if you're on Slack, add Claude to one channel like #support and let it take a first pass at responses.
โ€ข For your content: paste your brand voice plus three past posts into a chat and ask it to match your style on the next one.

Do one. Fifteen minutes of writing down what's in your head is the highest-leverage AI move you'll make all month.
That's the week. AI keeps moving fast, but the real wins are in helping real people use it.
